Privacy Policy - Leyo

This Privacy Policy explains how Utopia Technology, LLC ("Leyo," "we," "us," or "our") collects, uses, shares, and protects information when you use Leyo, Leyo Meet, Leyo.ai, HeyLeyo.com, our mobile applications, websites, meeting rooms, AI features, communication tools, content, and related services (collectively, the "Services").

Leyo is built to help people communicate, collaborate, and build relationships across languages and cultures. Because communication can be personal, we try to be direct about what information we collect and why.

If you do not agree with this Privacy Policy, do not use the Services.

1. Information We Collect

We collect information in the following categories.

Account and Profile Information

This may include your name, email address, phone number, profile photo, username, preferred language, native language, target languages, country or region, time zone, account settings, authentication identifiers, subscription status, referral information, and support preferences.

Communication Content

When you use Leyo to communicate, meet, learn, or collaborate, we may process content such as:

  • messages, prompts, replies, reactions, comments, and community posts;
  • voice, video, meeting audio, and call participation data;
  • live captions, speech-to-text transcripts, translations, summaries, and cultural explanations;
  • shared notes, AI boards, decisions, action items, files, attachments, agreements, and recaps;
  • follow-up drafts, to-do lists, learning plans, flashcards, vocabulary, mini-lessons, and resources generated from conversations;
  • relationship memory and context that you save or ask Leyo to remember; and
  • metadata about rooms, conversations, invitations, participants, timestamps, languages, and feature usage.

Leyo may process live audio or video to provide real-time communication, captions, translation, and meeting features. Unless we clearly provide a recording feature or you upload media, Leyo is not designed to store raw meeting audio or video as a permanent recording. We may store transcripts, captions, translations, summaries, shared notes, files, and other artifacts so that you and authorized participants can review and continue the conversation later.

Contacts, Invitees, and Relationship Information

If you invite people, join a room, sync contacts, create a group, or use relationship features, we may collect information such as names, email addresses, phone numbers, handles, invite links, participant roles, admission status, and relationship context you provide.

Do not upload or share someone else's personal information unless you have the right to do so.

Learning, Goals, and Personalization Information

Leyo may collect information about your goals, language level, interests, travel plans, business use cases, practice history, lessons, flashcards, completed sessions, saved vocabulary, mistakes, preferences, and progress so we can personalize communication support, lessons, practice, and follow-up plans.

Device, Usage, and Log Information

We may collect device and technical information such as IP address, device type, browser, operating system, app version, identifiers, language settings, time zone, network information, crash reports, performance data, pages viewed, buttons clicked, features used, meeting quality, and approximate location inferred from IP address.

Payment and Subscription Information

If you purchase a subscription, credits, or paid feature, payment providers such as Apple, Google, Stripe, or RevenueCat may process your payment information. Leyo typically receives limited billing information such as subscription status, plan, transaction identifiers, invoices, renewal dates, and payment-provider customer IDs. We do not receive your full payment card number from payment processors.

Support and Feedback

If you contact us, respond to surveys, send feedback, report a bug, or request support, we may collect your contact details, message, screenshots, logs, device information, and other information needed to respond.

Information From Third Parties and Integrations

If you sign in through a third-party account, connect an integration, or use features involving messaging, email, calendar, productivity, or communication platforms, we may receive information that the third-party service provides with your permission. This may include profile information, account identifiers, messages or files you choose to process, metadata, and authorization tokens.

Future or optional integrations may include services such as WhatsApp, Telegram, Email, Slack, calendar tools, or other communication platforms. We will process integration data only as needed to provide the integration, subject to your settings and the third-party service's rules.

2. How We Use Information

We use information to:

  • provide, operate, maintain, and improve the Services;
  • create accounts, authenticate users, manage sessions, and secure access;
  • enable chat, calls, meetings, rooms, community features, profiles, invitations, and collaboration;
  • provide AI captions, transcription, translation, summaries, cultural context, shared notes, recaps, action items, and follow-up drafts;
  • create personalized to-dos, mini-lessons, flashcards, vocabulary, resources, reminders, and learning or relationship plans;
  • remember context you ask Leyo to remember and help you continue relationships across sessions;
  • process payments, subscriptions, credits, trials, and refunds;
  • send transactional messages, notifications, product updates, support messages, and security alerts;
  • personalize content, recommendations, onboarding, and feature suggestions;
  • analyze usage, debug issues, measure performance, and improve quality;
  • prevent fraud, spam, abuse, unauthorized access, and security incidents;
  • enforce our Terms and policies;
  • comply with legal obligations and respond to lawful requests; and
  • develop new features, subject to this Privacy Policy and your settings.

3. AI Processing

Leyo uses AI systems and service providers to power features such as translation, transcription, captions, summarization, cultural context, post-session planning, learning materials, and assistant responses.

When you use an AI feature, relevant inputs and context may be sent to Leyo systems and AI service providers so the feature can work. For example, meeting speech may be processed to create captions, messages may be translated, and transcripts may be summarized into action items or lessons.

Leyo does not sell your private Communication Content. Leyo does not use your private messages, meeting audio, transcripts, files, or shared notes to train foundation models for unrelated customers. We may use aggregated, de-identified, or privacy-protected information to understand product performance and improve the Services. We may also use content if you expressly provide feedback, opt in to a research or improvement program, or ask us to troubleshoot a specific issue.

AI output may be inaccurate. You should review important translations, summaries, advice, and action items before relying on them.

4. How We Share Information

We may share information in the following ways.

With Other Users and Participants

When you communicate, join a room, post in a community, upload a file, or collaborate, your content and profile information may be shared with the people who can access that space. Meeting hosts and authorized participants may be able to access transcripts, captions, translations, shared notes, files, agreements, decisions, action items, and recaps.

With Service Providers

We share information with vendors and service providers that help us operate the Services, such as cloud hosting, databases, authentication, storage, real-time communication, speech recognition, AI, translation, email, notifications, analytics, customer support, payments, subscription management, monitoring, security, and error reporting providers.

These providers are authorized to use information only as needed to provide services to us or as otherwise permitted by law and their agreements with us.

With Third-Party Integrations

If you connect an integration or ask Leyo to interact with another platform, we may share information with that platform as needed to provide the feature. For example, Leyo may need to send a follow-up draft, meeting link, recap, message, file, or notification to a connected messaging, email, calendar, or workplace tool.

For Legal, Safety, and Security Reasons

We may disclose information if we believe doing so is reasonably necessary to comply with law, legal process, government requests, enforce our Terms, protect rights and safety, investigate fraud or abuse, prevent security incidents, or protect Leyo, users, partners, or the public.

Business Transfers

If Leyo is involved in a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar transaction, information may be transferred as part of that transaction, subject to this Privacy Policy or a policy that provides similar protection.

With Your Consent

We may share information in other ways with your direction or consent.

5. Cookies, Analytics, and Similar Technologies

We and our providers may use cookies, local storage, pixels, SDKs, and similar technologies to keep you signed in, remember preferences, improve performance, understand usage, measure campaigns, prevent fraud, and debug issues.

You can control cookies through your browser settings. Some parts of the Services may not work properly if cookies or similar technologies are disabled.

6. Data Retention

We keep information for as long as reasonably necessary to provide the Services, maintain your account, support collaboration history, comply with legal obligations, resolve disputes, enforce agreements, prevent abuse, and maintain business records.

Retention periods vary by information type and feature. For example:

  • account information is generally kept while your account is active;
  • meeting artifacts, transcripts, translations, files, notes, and recaps may be kept so authorized participants can review them later;
  • support messages may be kept to handle follow-up requests and improve support;
  • payment and transaction records may be kept as required for tax, accounting, chargeback, and compliance purposes; and
  • security logs and backups may be kept for a limited period after deletion from active systems.

You may request deletion of your account or certain information as described below. Some information may remain if retention is required or permitted by law, security, fraud prevention, dispute resolution, backups, or legitimate business records.

7. Your Choices and Rights

Depending on where you live, you may have rights to access, correct, delete, export, object to, restrict, or withdraw consent for certain processing of your personal information.

You can exercise many choices through account settings, app permissions, device settings, meeting controls, notification settings, and integration controls. You may also contact us at support@leyo.ai.

We may need to verify your identity before fulfilling certain requests. We may reject or limit requests where permitted by law, such as when we need information for security, legal compliance, fraud prevention, or another user's rights.

8. California Privacy Notice

If you are a California resident, California law may provide certain rights, including the right to know, access, delete, correct, opt out of sale or sharing, limit certain uses of sensitive personal information, and not be discriminated against for exercising privacy rights.

In the past 12 months, we may have collected the categories of personal information described in Section 1, including identifiers, account information, internet or device activity, approximate location, audio or visual information, commercial information, inferences, and content you provide through the Services.

We use and disclose these categories for the purposes described in Sections 2 and 4.

We do not knowingly sell personal information in the traditional sense. We also do not knowingly sell or share personal information of users under 16. If our use of advertising or analytics technologies is considered a "sale" or "sharing" under California law, we will provide required notices and opt-out controls.

9. EEA, UK, and Swiss Users

If you are located in the European Economic Area, United Kingdom, or Switzerland, Leyo's legal bases for processing personal data may include:

  • performance of a contract, such as providing the Services you request;
  • consent, such as for optional permissions, certain integrations, or marketing where required;
  • legitimate interests, such as securing, improving, and operating the Services, preventing abuse, and communicating with users;
  • legal obligations, such as tax, accounting, compliance, and lawful requests; and
  • vital interests, where necessary to protect someone's safety.

You may have rights to access, correct, delete, restrict, object to processing, request portability, and withdraw consent. You may also have the right to lodge a complaint with your local data protection authority.

Leyo is based in the United States, and your information may be processed in the United States or other countries that may not provide the same level of data protection as your home country. Where required, we use appropriate safeguards for international transfers.

10. Children's Privacy

The Services are not intended for children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information to Leyo, contact us at support@leyo.ai and we will take appropriate steps.

If you are between 13 and the age of majority where you live, you may use the Services only with parent or guardian consent and supervision. In some regions, the required age for consent to data processing may be higher.

11. Security

We use reasonable administrative, technical, and organizational measures designed to protect information. However, no internet, AI, cloud, communication, or storage system is completely secure. You are responsible for using strong credentials, protecting your devices, managing meeting links carefully, and choosing what information to share.

12. Sensitive Information

Leyo is a communication product, and users may choose to discuss personal topics. Please be careful before sharing sensitive information such as government identifiers, financial account details, health information, immigration details, confidential business information, private family matters, or information about children.

Do not share sensitive information unless it is necessary, lawful, and appropriate for the conversation and the people involved.

13. International Use

Leyo is designed for global communication, but availability, performance, legal requirements, and feature access may vary by country, region, network, device, language, platform, and provider.

If you use Leyo outside the United States, you are responsible for complying with local laws that apply to your communications, recordings, transcriptions, translations, data transfers, and use of AI services.

14. Marketing Communications

We may send you service messages, security alerts, account notices, product updates, and support communications. Where permitted, we may also send marketing messages. You can unsubscribe from marketing emails using the link in the email or by contacting us. You may still receive transactional or service-related messages.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If changes are material, we will take reasonable steps to notify you, such as posting the updated policy, updating the "Last Updated" date, or sending a notice through the Services.

Your continued use of the Services after the updated Privacy Policy becomes effective means you acknowledge the updated policy.
